There are two extensions, both named Todoist for Gmail. Either you can get the one from the Chrome web store or integrate the Google Workspace add-on. If you want to connect Outlook and Todoist, then it will enable you to attach an email to comment. This feature is available for all users with free, premium, and business accounts. As Todoist is one of the most popular apps of its kind on iOS and Android, touts a user base some 3 million strong and has a bunch of accolades filed under “won”, the launch of a Chrome App is a welcome one. Todoist for Chrome & Chrome OS. Task management applications aren’t hard to find. Todoist Karma tracks your progress, visualizes it, and gives you points. As a beginner this system is quite fun, since there are also levels involved and you feel like you are progressing. It's a mini game that makes task management a bit more fun and rewarding. After you reach a certain level, Karma level-ups are fewer and farther in between. Todoist makes it easy to read all the information present on a web page whenever you want by allowing you to save web pages as tasks. To save web pages to read later, you can save any web page by using browser extensions for Firefox, Safari, and Google Chrome. By adding websites as tasks, your productivity increases.

If you’re on the hunt for a task manager that works just as well on the desktop as it does on mobile, append Todoist to your todo list, ASAP!

Task management applications aren’t hard to find. Even the most niche operating system or mobile platform tends to be well stocked with choices of varying quality and feature sets.

“Todist for Chromebooks” (to give the app its full title) hit the Chrome Web Storeat the start of the month, and has already been made a featured app by Google.

But why? What makes this ‘getting things done’ app so notable?

Features & Functionality

First off let’s ignore the name of their Chrome App. While it’s titled “…for Chromebooks“, Todoist can and will install/run on Chromeboxes, bases and Chrome for Windows, Mac OS X and Linux just fine.

The rest is par for the course for an app of its kind: you can add and arrange, sort and filter tasks. Tasks can be sorted into “projects” and assigned a due date to organise your workflow into an organised and segmented schedule.

One of the big bonuses is support for setting due dates in a human-readable format. Instead of sifting through a date picker or calendar you can just enter: “A Week Next Tuesday” or “Every Wednesday at 4 PM”. There are also some useful predefined buttons for shunting dates quickly – e.g., “tomorrow”, “next week”, “next month”.

Other features:

  • Clean, lean interface
  • “Projects”, “Labels” and “Filters” help you manage tasks easier
  • Schedule views (“inbox”, “today”, “next 7 days”)
  • Recurring dates/task support
  • Dates can be entered in natural language
  • Cross-platform support for on-the-go management
  • “Offline support”

A truly novel feature, one that appeals to stat-addicts like me, is Todoist’s “karma” system. This nifty feature awards you points every time you complete or action a task and plots your activity on a graph. A small feature that’s easily missed, but one that packs a powerful motivational kick.

Offline Support With Caveats

A word about that “offline support”, a feature so crucial (psychologically more than practically) for Chromebook owners. In short there is none – at least not in the way most of us tend to expect it. The app can run offline but has to be opened before a connection is lost or turned off. Opening the application cold with no connectivity makes it throw a “no connection reload the app” error.

For a truly offline-equipped solution Wunderlist or Google Keep may be a safer bet.

Premium To Do Features

Another frustrating (if understandable) aspect of Todoist versus its rivals is that it’s pretty limited in what you can do with a free account.

Features that many of us are familiar with in apps like Wunderlist, such as attachments, notes, comments and e-mail/push reminders, are only available to Todoist’s premium subscribers. Unlocking the full roster of awesome doesn’t cost the earth, starting at $3/month or $29/year, but the endless “premium feature only” screens you see when trying to decide if it’s worth coughing up the price of a Starbucks for can grate — a fact that’s especially true since signing up co-opts you into a bunch of daily newsletters, nags and tips from the service too.

Summary

Amidst its rivals, Todoist lacks the colorful charm and feature set of rivals, but it’s also less clinical and austere than some of the free options. Being available in one guise or another virtually everywhere helps, with add-ons for Firefox and Chrome and plugins for Gmail and Microsoft Outlook (among many others) making it easy to fit into even the most demanding lives or workflows.

If you’re looking for a lean, clean, team management/work solution, and are happy enough to pony up the premium charges, I say give Todoist a shot.

But for the rest of us I suspect Wunderlist, or even Google Keep now that it has collaborative features, will tick all the right boxes.

I've been using Todoist almost daily for the last 4 years. I've learned a lot of tips and tricks along the way, which I'd like to share with you. The official guide describes the basics to get started, but I want to cover some more advanced or lesser-known features in this post.

Customize your start page

To Do List App Chrome

As of version 949, custom queries were removed. You will have to create a custom filter and select it instead.

By default, Todoist uses the 'Next 7 days' view. But it's also possible to define any project, filter or custom query as home page. Go to Settings → General and select Custom query as your Start page.

That's the query I'm using: overdue, 3 days, @next, p:Inbox. This will show the following sections by default:

  • overdue
  • next 3 days
  • tasks marked with @next label
  • the inbox (depends on your language, e.g. it's p:Eingang in German)

Recurring tasks based on completion date

Todoist offers many ways to create recurring tasks using the every keyword. One overlooked feature is adding ! to every. Here's the difference:

  • every month creates tasks based on the task's original date. This is useful for tasks with exact due dates, e.g. paying your rent.
  • every! month creates tasks based on the task's last completion date. This is more appropriate for tasks that must be completed at regular intervals, e.g. working out.

Let's say we create a recurring task on January 10 and complete it on January 15. When every is used, the next occurrence is February 10, while every! leads to February 15:

Postponing recurring tasks

In a perfect world we would always complete our scheduled tasks on time. But sometimes you can't or don't want to finish a task today. There are various ways to deal with this:

  • Leave the task as overdue and finish it later. This may not be the best solution for passionate procrastinators, though. This also reduces your Karma points if you leave a task overdue for more than 4 days.
  • Mark the task as completed. However, this will distort your Karma points (as you check off a task that you did not actually complete).
  • By editing the date field or using smart date recognition you are able to re-define the task's schedule. This is not the preferred way to reschedule tasks, but it's possible using the starting keyword, e.g. every day starting tomorrow
  • Much more convenient is the built-in postponing mechanism. Open the task's menu and click on the circle arrow to reschedule the task to its next due date. This will not alter your task's original date query.

Structure subtasks

Subtasks are handy to structure your tasks within a project. Let's improve the hierarchy visually by connecting the following features:

  • A task starting with * (followed by a space) will hide its checkbox. This makes it perfect for subheadings.
  • Todoist supports basic Markdown formatting, so surround a text with **Text** to make it appear bold.

When combined, we are able to create a 'Scheduled' project with * **Monthly**, * **Weekly** and * **Daily** sections:

This makes it easier to distinguish parent projects from subprojects.

Archive subtasks

Completed tasks are archived automatically. However, this does not apply to subtasks by default. Instead, checking off a subtask marks it as completed without removing it from the view:

This may make sense for some people, but I don't like seeing completed tasks on my todo list. You can select the task's menu and click Archive, but there is an easier way to achieve it: Hold down Shift on your keyboard while checking off a subtask to automatically archive it.

Expand / Collapse all tasks

Subtasks are not only useful to structure your tasks. They also allow you to hide/collapse all children tasks by clicking the black arrow.

Catherine herridge twitter. It would be great to collapse/fold or expand all subtasks at once, especially when dealing with many tasks. Unfortunately, Todoist does not offer such a feature, but it's possible with Bookmarklets, small scripts stored as browser bookmarks.

Drag and drop these links onto your bookmark bar and click them while your Todoist web app is open:

Projects comments (premium)

You might have been using task comments already: hover over a task and click the speech bubble that appears next to the task name.

But did you know that you may also attach comments to projects? It's quite useful for generic notes or discussions.

Backup your data

I manage most of my tasks in Todoist, and I'd really hate losing any of them. If you're a Premium user, Todoist already creates automatic backups for all your active tasks. You can also try my Export tool for Todoist — an app I have written several years ago. It's free, open source and doesn't require a premium account. It also allows you to download all your data, including account information and archived tasks (JSON only).
